Every firm tracks something the software did not anticipate
A referral source. A CRA My Business Account status. Which partner signs. Whether the client is on pre-authorised debit. The attribute is always specific to the practice, and the software never ships with it.
So it goes in the notes field, where it cannot be filtered, cannot be exported cleanly, and is written differently by every person who records it.
How custom fields work
An administrator defines the field once: a label, a type, whether it is required, and — for select fields — the list of allowed options. The field then appears on every client record, in the position the admin chose.
Because the field is typed, it behaves like a built-in one: select fields render as dropdowns with a fixed option list, dates use the date picker, and every value comes through the export.

What changes for the firm day-to-day
The notes field goes back to being notes. The attributes the firm actually manages by become real data — filterable in the client list, present in exports, consistent between staff.
New staff record the same things the same way, because the form asks for them rather than relying on someone knowing to write them down.
